Getting Super Systemized in Your Biz with The Brow Fox

Hey friend! I’m Emily Stites—a mama, mentor, and beauty biz owner just like you.

I’m also the founder of Brow Fox Beauty, your go-to for easy retail, and real support for busy estheticians.

Over the years, working with pros, I’ve realized something: Success isn’t just about nailing your wax technique (though that does matter and Waxbare makes it easy too)—it’s about building smart, repeatable systems that keep your business running like clockwork.

Today, I’m pulling back the curtain and sharing how I systemize my two waxing studios in San Luis Obispo, CA: Brow Bar SLO and Skinny Dip.

People often say, “Wow, you’ve got a lot going on!” (Funny how men don’t get that when they run multiple businesses. 🙃) But the truth is—I don’t do it all. I systemize it all.

Let’s talk systems.

Let’s Build Systems That Do the Heavy Lifting

Running a successful business means clearing out the mental, physical, and digital clutter. That’s where my favorite trio comes in: automate, delegate, and eliminate.

Technique & Service Systems

Everything I do that works? I turn it into a system.

If a process feels smooth, I break it down, document it, and turn it into an SOP (Standard Operating Procedure). That way, anyone on my team—and future hires—can follow the same winning steps.

From new client consultations and closing protocols to social media tasks and payment processing—it’s all written down in a living Google Doc that gets updated constantly.

When I have cues and frameworks in place, I can be fully present with my clients instead of trying to remember what comes next.

Marketing & Communication Systems

Tired of answering the same DMs over and over? That’s a sign something needs a system.

• Keep a running list of FAQs and turn it into a page on your website.

• Use your iPhone's text replacement shortcuts to reply to common questions with a tap.

• Set up your “Do Not Disturb While Driving” feature to auto-reply during appointments. Mine says I’m in session and directs clients to book online only.

• Now copy that response and add in your policies into your email vacation settings and use it while you’re working. Instant boundary, zero emotion. Your policy speaks first so you don’t have to.

• And those FAQs? They’re also gold for social content, emails, and blogs. Let your clients write your content for you. 💁‍♀️

Inventory & Supplies Systems

Inventory doesn’t have to be chaotic.

• List out your must-have supplies—these are variable expenses that need to be consistent.

• Split the list by supplier. (What comes from Amazon? What comes from Wax Bare?)

• Put what you can on subscription. Monthly or every-other-month shipments = less brain space and more predictability.

• This turns chaos into clarity. Now your variable cost of supplies becomes a fixed expense, which makes budgeting way easier.

Bonus tip: Update your inventory on the 1st and 15th of every month using a shared Notes app between personal and salon phones.

Filmed yourself doing it and turned that video into an SOP—ready to hand off when you're ready to delegat

Prebooking System: The PPP Method

Here’s my signature system for keeping your books full and your clients loyal:

1. Prebook – Before they leave, rebook their next visit. “Want to lock in the same time next month?” is all it takes. It makes it feel urgent and exclusive.

2. Process Payment – Do not check out your client before pre-booking. Once they pay, they’ve mentally left.

3. Profile Notes – Jot down small details (“hosting a birthday party,” “just got a puppy”). Ask about it next time. That personal connection = major loyalty.

On Brand / Off Brand

Skinny Dip and Brow Bar SLO serve different vibes, but behind the scenes? Same systems, same strategies—just rebranded. If I’m ever unsure about a decision, I ask: Is it on brand or off brand? That one question gets me unstuck. Canva does a great job of rebranding my designs so I can use for both locations!

Waxbare makes it easy for my studios to stay on brand!

At Brow Bar, I use Waxbare’s Suisse Gold Hard Wax Beads. It’s flexible, strong, and gorgeous. (Seriously, that gold glow.) Perfect for brows, faces, sensitive areas, and coarse hair.

At Skinny Dip we use Waxbare’s Coconut Wax for Brazilians and body waxing. It smells like vacation and applies so thin, with zero cracking. Totally on brand with our SLO Swim location and vibe.

I hope these tips and insights help you run your biz a bit smoother, because smooth is the goal inside and out of the treatment room.

Xoxo
